This position provides administrative and secretarial support for the Clinical Procurement Manager. In addition to obtaining needed supplies and equipment repair/ orders for our Dental Practices, there will be continual tasks needed: typing, organizing, and scheduling. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers as well as internal contacts at all levels of the organization. Independent judgment and following through are required to plan, prioritize and organize diversified workload. Remaining on task to ensure orders are completed on time and holding equipment repair companies accountable is vital.
Education: Associate degree in Business Administration or related field preferred; or an equivalent combination of education and experience.
Experience: At least one (3) years of experience as an Administrative Assistant in a dental/health care or professional setting. At least (1) year of experience as a Dental Assistant with working knowledge of dental products and dental equipment.
Additional Requirements: Must be able to type at least 65 w.p.m. Thorough knowledge of Office suite software programs; shorthand experience desired. Skilled with the following Google slides, sheets and docs.
Primary Responsibilities Are/Not Limited To:
Purchasing supplies and equipment specific to dental practices.
Working closely with Procurement Management.
Acts as a liaison with other departments and outside agencies.
Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the Procurement Manager, which may include planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
Purchasing clinical products and office supplies, and marketing giveaway items/packages.
Maintenance of the items we have in inventory.
Ensuring all warranties on sensors are up to date and well organized.
Provide feedback on dental products/ dental equipment
Prepares reports by collecting and analyzing information; intermediate Excel/ Google Sheets skill required.
Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
Coordinate with diverse management teams to gather information to respond to inquiries and/or prepare reports as requested.
Maintain an organized environment with a courteous professional demeanor.
Work with equipment repair companies and practice staff to ensure repairs are completed
Perform other tasks as assigned.
